The editing procedure on the Legend Yearbook Staff is as follows:
- turn into the editor
- the editor edits the specified item on the spread
- the spread is returned to the staffer to make corrections
- once the edits are made, staffers highlight the edits on the spread as they correct them to keep track
- after done making corrections, staffers then turn into the next editor
Since we have some staffers working from home this year, we made this procedure digital by utilizing Trello and Google Docs.

This swim spread from the 2020 Legend Yearbook needed heavy revisions in both the story and the design. The above photos represent the design changes that needed to occur for a more visually appealing spread. The staffer left photo boxes empty and left gaps in the captions and body copy. To the left are the story edits I made. This story struggled with organization and repeated multiple points. The story lacked AP Style, the correct formatting of quotes and contained excessive use of passive voice verbs. I wrote sticky note reminders to this staffer and sat down with her to make sure she fully understood why I gave her so many edits because I did not want her to feel discouraged. The staffer then made the edits and worked hard to elevate her spread to the next level and it became one of my favorites from the 2020 yearbook.

I edited this spread during the majors process. After a staffer goes through all of the editors, they then go through everyone again for majors and receive refined and nit-picky edits. At this point in the year, we had just altered some theme style elements so I corrected those before we sent the spread to the publisher. At the time, I worked from home and so I had staffers send me PDFs of their spreads and I would print them out, edit them, scan them on my phone and attach it to their Trello card so they could access my edits digitally in the classroom.

editing virtually
While editing virtually, our staff utilizes Google Docs. I edit through the "suggesting" and "commenting" options which allow me to efficiently leave edits on staffer's copy that they turn in. You can select specific phrases and leave a comment for those specifically or you can type directly in their story and it will show it to them as a suggestion. I will use "suggesting" to add in missing words or phrases. I tend to comment when the edit is more general or something is disorganized and needs more clarification. I often try my best to leave positive statements when I finish editing that encourage staffers, but also point out to them what they need to improve on in a non-discouraging way. It can often feel overwhelming working from home so I try to do the best I can in this digital atmosphere. When a staffer is done with their edits, they check it off on their Trello card checklist and turn in to the next editor. See more about Trello here.
